Deposits
All hotels require a credit card guarantee equal to the first night’s stay as a deposit. A valid credit card and expiration date should be provided with your room request. Your credit card may be charged for your first night’s stay (including taxes) approximately one month prior to arrival. Hotels may cancel room reservations without notification if one night’s deposit is not received prior to your scheduled arrival.

All reservations made online will require a valid credit card number and expiration date to guarantee your reservation.
A Note About Calling to Confirm Reservations
Please refrain from calling the hotel to confirm your reservations until after 24 May. Please understand that processing your reservations through the Housing Bureau into the hotel system will not occur until that date. Be assured that if you have received a confirmation number from the Housing Bureau, the hotel will honor your booking. Thank you for your consideration.
Multiple Room Requests
You may reserve up to five rooms online with individual names. One credit card or individual credit cards may be used.
Suite Requests
Please contact the Housing Bureau at [email protected] to request a suite. We suggest you also reserve a standard hotel room in the event suites are unavailable. You may cancel this reservation by contacting the Housing Bureau once you have received confirmation of your suite reservation.
Rates
To receive the convention room rate, all hotel reservations must be made through the Housing Bureau. Hotel rates are listed above.
Changes/Cancellations
Changes or cancellations after 24 May must be sent directly to the Hyatt and Marriott hotels. Changes or cancellations after 31 May must be sent directly to the Fairmont and Westin hotels. At many hotels, any guaranteed room reservation not cancelled 72 hours prior to arrival and not used will subsequently be billed by the hotel to your credit card account.
Early Departure Fee
In case of early departure the hotel may add an early checkout fee to the guest’s individual account.
